Tire Management Overview
The tire management feature in Maintenance Pro Web will allow you to setup axle configurations for equipment, quickly view which tires are currently mounted to equipment, look up the services individually performed on each tire (mount, dismount, repair, scrap, etc.), and view cumulative tire history on the equipment level.
Please note that the tire management system works independently of the Work Order ticketing system. If you wish to keep track of how many tires you have in stock, add those tire 'parts' to Work Orders, and then record part/labor cost, then you will want to use our existing Inventory Parts system to treat the tire as a regular inventory part. You can also view your normal maintenance history, which works in conjunction with the Work Order system, to see what previous tire maintenance was performed on the equipment.
The tire management system described in this article is only to be used if you want to track detailed information about an individual tire's history (which position on the vehicle was it mounted to, tread depth level at each service, etc.) and view a history of these tire services performed on equipment, separate from your normal Work Order maintenance notes.
Enable Tire Management Feature
Tire management is currently an Enterprise-only feature. If you are on an Enterprise subscription and wish to enable tire management, or if you wish to upgrade to the Enterprise level to take advantage of this feature, please contact us to update your account.
Axle Setup
Before you can mount a tire to a unit you must first enter the axle configuration of the equipment. To do so, browse to the Equipment Edit screen.
Click the Tires category to display more options.
Enter the number of Axles the equipment has.
Then enter the corresponding Size and Recommended PSI. Check the Duals? box if applicable for the equipment.
Click Save on the bottom when finished.
Add Tires To Inventory
The tire inventory system is independent of your normal parts inventory. Tires tracked through the tire management system will need to be added to the tire inventory individually, as each tire will have its own history records attached.
To add tires click Inventory on the left side. Then click the Tires tab at the top.
Click the blue New button on the top right.
This will bring you to the New Tire screen.
Serial number can be the actual serial displayed on the tire, or another custom ID to represent this specific tire. The serial number entered must be unique. No two tire entries can have the same serial number.
Brand, Size and Purchase Price are optional fields. We recommend filling these out to easily choose the tire from your list.
Tires are separate from your normal inventory parts but do require a Warehouse designation to show which physical location they have originated from.
Click Save to bring you back to the main Tire listing or click Save & New to continue adding tires.
Note that each tire that is to be tracked in tire management must be individually added. This means a regular car or truck would need a minimum of 4 tire entries added to the tire listing in order to completely mount all tire locations on the vehicle axles.
Mount Tires To Equipment
From the Tire Inventory list, click the action gear on the tire and choose the Mount option.
The Tire Service screen will appear.
Enter the date and time of the service, along with the service to be performed. In this case Mount is already selected for us.
Next, choose the Equipment to mount the tire to.
The equipment must have the axles configured in order to display in the list. If no axles have been setup then the equipment cannot be chosen here. You can go to the equipment's edit screen to setup the axle configuration.
Once the equipment has been selected, choose the Axle the tire will be mounted to, along with the current position. The available positions are:
LI - Left inner tire
LO - Left outer tire
RI - Right inner tire
RO - Right outer tire
Last meter would be the odometer reading of the last tire service performed on the equipment. Current meter is the current odometer reading of the unit.
The readings section are measurements taken of the tire itself, such as pressure and depth levels. Click Save on the bottom to mount the next tire. Save & New should only be used if you wish to perform a separate service on the same tire. To mount a separate tire you will need to Save and go back to the tire listing to perform a new action.
The tire listing will then reflect the equipment that the tires are currently mounted to.
Tire Actions
On the tire inventory list, click the action gear on the right hand side to view available actions.
Note that some options will be unavailable based on the tires mounted status.
Mount / Dismount will add or remove the tire from the equipment. Tires that are not yet mounted will display a Mount option. Tires that are currently assigned to equipment will show a Dismount option.
Inspect allows you to record the current odometer of the unit and the tire tread depths.
Repair will allow you to record odometer and depths. You can add repair details to the Notes box.
Retread can only be performed on a dismounted tire.
You can Scrap a tire that will no longer be used. A reason for the scrap action can be provided.
The reason will also appear on the tire listing.
Edit Tire Details
To edit tire details, such as brand or size, click the action gear on the right and choose Edit.
This will bring up the edit screen where you can make changes and save them.
A Picture tab is also available on the edit screen if you wish to upload a photo of the tire.
Delete Tire Record
If a tire is not mounted to any equipment it can be deleted from the system. Note that deleting a tire record will remove ALL history associated with this tire, including equipment tire history. If you wish to keep the history we recommend performing a Scrap action on the tire instead.
On the Edit Tire screen you will see a Delete button on the bottom. The Delete button will only be available if the tire is not actively mounted on any equipment.
View & Edit Tire History
Tire history can be viewed on a per-equipment or per-tire basis.
To view tire history for equipment click the unit from your equipment list. Click the History tab.and then click the Tires button.
A date range filter is available if you only wish to view the most recent tire entries.
The search box can be used to filter the list by a specific service name or tire serial number.
Clicking on a row will bring up the Tire Service details.
You can edit any values and Save the changes. If you wish to remove an erroneous tire history entry click the Delete button on the bottom.
To view the history of a particular tire, click the serial number value from the Inventory Tire list.
Click the History tab to view actions that have been previously performed on this tire. You can also click the blue New Service button on the top right to quickly perform a new tire action.
Clicking any row will allow you to edit or delete the history entry.
