Adding & Viewing Documents
Maintenance Pro allows miscellaneous documents to be attached to equipment records for future reference. Common uses of the Documents feature include attaching images of the unit or adding PDFs as reference materials for upcoming maintenance tasks.
There are restrictions on what can be added to the Documents section based on file size and file type.
The following file types are accepted:
- JPG
- JPEG
- GIF
- PNG
- XLS
- XLSX
- DOC
- DOCX
- PPT
- PPTX
- CSV
The file size cannot exceed 10 MB.
To access the Documents section, navigate to the Equipment Index and select any unit. This will open the Equipment Profile screen. From there, click on the Documents tab.

To add a new document, click the blue New button on the right. A file explorer window will appear, allowing selection of a file to upload.
After selecting a file, an option will appear to add tags beneath the file name. Tags serve as keywords for the search function, making it easier to locate documents. Adding tags is optional.

To upload multiple files at once, click the New button again. If there are any issues with the file type, the program will display a bold text notification indicating the problem.

When ready to save the files, click the Start Upload button. A green progress bar on the right will indicate the upload status, showing how much of the file has been uploaded.

Once uploaded, the file will appear in the Documents list. Selecting the blue link under the Name column will immediately initiate a download or open a preview of the document.

Clicking the Date to the left of the file name opens the edit screen, where the document can be renamed, keywords can be added, or the file can be deleted entirely.

These documents remain within the Equipment Profile screen and cannot be referenced elsewhere in Maintenance Pro.
